how to book a tour , pricing, and payment details

A $200.00 deposit is required to secure your spot, with the remaining $800.00 due on or before December 31, 2024. We recommend booking online through our $200 VIP Passport tab. This $200.00 deposit secures your spot and is applied entirely to your desired tour. It also grants you 2025 VIP cardholder benefits for FREE. When booking, you will select your tour choice, and someone from our team will contact you by the next business day to finalize your booking details, tour preferences, and answer any questions you may have. The remaining $800.00 deposit is due on or before December 31, 2024. Fifty percent of the remaining balance is due 90 days prior to the trip departure date, with the remaining balance due 30 days before departure.

• Booking more than 120 days prior to scheduled tour departure date: A deposit of $1,000 is required at the time of booking, which is online only. Fifty percent of the remaining balance is due 90 days prior to the trip departure date, with the remaining balance due 30 days before departure.
• Booking within 90 days of scheduled tour departure date: Seventy-five percent payment is due at the time of booking, with the remaining balance due 30 days before departure.
• Booking within 30 days of scheduled tour departure date: Full payment is required.

All payments must be made in USD and can be paid through our 3rd party vendor via debit or credit card (Visa, Mastercard, American Express, or Discover). If you wish to use a different payment method including personal check, wire transfer, or another payment method, please contact Pina Finazzo at pina@farmtofork.fitness. Cash is not accepted.
A $50 service fee will be charged to each reservation if a payment is refunded and then recharged to a different card.
While you may dispute charges with your credit card company (“chargebacks”), we ask that you first contact us to resolve any concerns regarding charges.
By booking with us, you agree to abide by our cancellation policy. Farm to Fork reserves the right to challenge any improper chargebacks and recover associated costs, including legal fees. In the case of an improper chargeback, we also reserve the right to cancel any related travel reservation.
The following chargeback situations are considered improper:
• Chargebacks for non-cancellable reservations, regardless of whether the reservation is used.
• Chargebacks for charges authorized by family, friends, or others with direct access to your credit card (excluding credit card fraud).
• Chargebacks due to discrepancies with product descriptions.
• Chargebacks arising from force majeure or events beyond Farm to Fork's control.
• Chargebacks due to disagreement with the cancellation policy.

Prices listed on the Farm to Fork website and invoices are in USD per person, based on double occupancy, and include taxes. Each tour offers unique features specific to that itinerary. Please check the individual tour page on our website for details on inclusions and exclusions.
Guests wishing to have a private room will be subject to a Single Supplement, which varies by tour and can be found on each tour’s page.
No price adjustments are made for late arrivals, early departures, or for participants who do not bike (“non-riders”).

Our tours are priced for double occupancy. A Single Supplement applies for a private room. If you're traveling solo and prefer a roommate, let us know, and we'll try to pair you with another solo traveler to waive the supplement.
FAQ and General questions

We provide carefully chosen accommodations, delicious local food spot, great roads, and top-quality bikes and gear, so you can focus on the fun stuff. We also cover entrance fees for all planned tours, hikes, and other scheduled activities during our tour for all cyclist and for non-riders. Alcoholic beverages are not included with set meals, except for the welcome and farewell dinners. However, they will be included on any tours where wine or similar beverages are part of the experience.

Most of our trips are guaranteed to run when a minimum of 2-4 people are booked. No additional supplement is required if this minimum number of guests is met.

Every ride we plan revolves around local food, fun, culture, and adventure. Whether you prefer to stop and enjoy the scenery or ride hard, we ensure everyone’s needs are met. Each day, you’ll be supported by at least two guides on the road riding at two different paces and another in the support van, offering mechanical assistance and a lift when needed. Our routes also include options for both longer and shorter rides. Dedicated cyclists can take on extra miles, while those tackling more challenging routes can always count on our support van for assistance.
We also offer e-bikes, providing extra pedal power to help you cover longer distances, complete steeper climbs, and maintain a faster pace—perfect for riding with others who cycle at different levels.

When booking a tour, we recommend discussing dietary restrictions with your assigned Tour Coordinator to gather detailed information about your dietary preferences and alert your guides in advance.

Travelers with companions who prefer not to cycle can still experience the journey in our Farm to Fork Style. We offer daily curated itineraries for non-riders, allowing them to explore the region through activities like historic walks, car tours, hikes, cultural discoveries, or simply relaxing at hotel pools and spas. Whenever possible, non-riders will have the opportunity to join riders for the post-morning-ride lunch. Additional afternoon experiences for both non-riders and riders who wish to cycle in the morning and explore on foot in the afternoon are available almost daily. You will be asked to select the "Non-Rider Option" when registering non-riders for the tour.
The price of our tours covers accommodations, meals, wine, and many off-bike activities, so the price per person is the same for both riders and non-riders.

Road or Gravel. Bikes are included on tour. Guests are asked to choose between a hybrid or road bike, with electric bikes available for an additional fee. To ensure bike availability, guests must submit their bike measurements at the time of registration, no later than 30 days before departure. Requests made within 30 days of departure will be subject to availability and may not be guaranteed. Changes to bike selections made within 21 days of departure will incur a late change fee. Guests who bring their own bike will receive a credit off the cost of the tour.
Electric Assist: E-bikes are available on all our tours, e-bikes give you extra support to help you ride farther, climb steeper hills, and keep a faster pace. It’s a great choice if you're cycling with others who ride at different speeds, travel the entire distance or if you want to explore more challenging routes. This as available at as with a small additional charge for the week.

We prepare cycling days to include everyone. That is, our itineraries cater to all levels of riders, from beginners to experienced cyclists.
Each day on tour, we offer both longer and shorter ride options. If you're an avid cyclist on a more relaxed tour day, our guides are happy to extend the ride with extra miles following the lunch stop. If you are a beginner or intermediate cyclist on a more challenging day, our support van is always available to assist, or you can use an electric assist to enjoy the tour.

Bikes are included in the tour. But some participants elect to bring their own bike. We do not offer any services related to the use of your own bikes. If considering to ship your bike, BikeFlights is one company that offers door-to-door shipping services. If you plan to bring your bike, please select the “bringing my own bike on your registration form in order to receive a discount on the price of the tour.

We offer group transportation to and from the designated airports and train stations as specified in each tour. If your travel plans fall outside the arrival or departure times or locations, you may be responsible for extra costs. Throughout the entire tour, we handle all luggage transfers and transportation with our own hired staff.
Cancellation Policy, Trip Changes, tour credits

Any tour booked prior to December 31, 2024 as a VIP- Passport holder can modify their destination and reapply the $200.00 deposit to any 2025 Farm to Fork Adventure through December 20, 2024. After December 31, 2024 the cancellation policy is as follows:
25% off Trip Price after the first deposit
50% off trip price with a Tour credit voucher to be used within 1 year of the original departure date for cancellations up to 90 days prior to scheduled departure.
100% off trip price for cancellations up to 30 days prior to scheduled departure.
The cancellation policies outlined below reflect the costs Farm to Fork incurs well before travelers depart. These policies are strictly enforced. The trip price includes everything purchased from Farm to Fork as part of your tour, such as upgrades, pre- and post-tour arrangements, and the Single Supplement. Please note that any supplement paid for bike upgrades is non-refundable if canceled within 31 days of the tour.

All Tour Credits are transferable but non-refundable. They cannot be used toward another deposit payment for Destination Vacation. However, they can be applied toward another Fondo event. Tour Credits must be used within one calendar year of the original departure date, or they will be forfeited. Once a Tour Credit is applied to a trip, it is then considered non-refundable. Special rules apply for COVID-related Travel Credits. Please contact our office for more details.

Requests to change an existing reservation will be honored until December 20, 2024, at no charge and accommodated based on availability. The requested change will be applied at not cost to a different Farm to Fork adventure within the same calendar year. The guest is responsible for any additional increase in the tour price. Only one date change per reservation is permitted.

Farm to Fork may cancel, modify, or delay tours due to force majeure events such as natural disasters, epidemics, pandemics, or government-imposed travel restrictions. In the event of a tour cancellation by Farm to Fork due to force majeure, guests will receive a Travel Credit for the amount paid to be used toward another tour.
Farm to Fork is not responsible for any personal expenses incurred due to itinerary changes or force majeure cancellations, such as prepaid hotels or airline tickets. We recommend confirming your trip with Farm to Fork before making additional travel arrangements.
Farm to Fork reserves the right to modify routes, activities, and hotels on any tour, including details listed on our website. We strive to minimize changes whenever possible.

Miscellaneous

After submitting your deposit, you will receive a Traveler Profile to complete. This profile must be signed and returned to Farm to Fork within 10 days of receipt to personalize your trip. The profile helps Farm to Fork secure your bicycle, note any dietary restrictions, and address special requests you may have and most important individualize the tour to make it your own great vacation.

By submitting your deposit and completing your Traveler Profile, you agree to the following Traveler Code:
• I have chosen a trip that suits my abilities, fitness level, and health condition.
• I do not have any physical conditions or disabilities that could be a hazard to myself or other travelers.
• I have a valid passport and all necessary visas, permits, certificates, and vaccinations required for travel.
• I will review all pre-trip materials, including clothing, medical requirements, and culture-specific etiquette.
• I will communicate any special requests, including dietary restrictions, medical needs, and room preferences, at least 30 days before travel. I understand that Farm to Fork will try to accommodate these requests but cannot guarantee they will be met.
• I will respect the laws and customs of the countries we visit.
• I will follow environmental guidelines as directed by my guides.
• I will respect the rights and privacy of fellow travelers.
• I understand that group travel involves compromise to accommodate diverse desires, goals, and physical abilities. Guides may need to make decisions based on group consensus, which may not always please everyone but aims to satisfy the group’s overall needs.
• I understand that Farm to Fork reserves the right to refuse service to anyone whose health or behavior may affect the well-being or enjoyment of others. A guest may be asked to leave the tour if their behavior or health risks the group or individual’s safety.
• I understand that traveling on less-accessible roads may limit medical facilities and evacuation services.
• I understand that weather conditions are beyond Farm to Fork’s control.
• I will always wear a helmet while riding.
• I will not wear headphones while riding.
• I will consume alcohol responsibly.
• I will be responsible for any damages caused to hotel rooms.
• I will not use my cell phone while riding.
If you do not consent to these regulations, you may be dismissed from the tour at your own expense, with no refund for the missed portion of the tour. Farm to Fork reserves the right to refuse or cancel a reservation if the guest’s health or behavior impedes the welfare or enjoyment of other travelers.

Farm to Fork is not liable for bodily injury or property damage due to (but not limited to) physical exertion, weather conditions, collisions with bicycles, pedestrians, or vehicles, road conditions, travel by various means of transport, consumption of alcohol, civil unrest, terrorism, equipment breakdown, high altitudes, or lack of access to medical attention. Full terms are outlined in the agreement.
Guests who fail to provide a signed Release of Liability prior to departure will not be allowed to join the trip, and the standard cancellation policy will apply.
Limitations of Liability
Farm to Fork is not liable for any expenses, such as meals, transportation, or lodging costs, not specified in the trip cost. Farm to Fork reserves the right to modify routes and accommodations as needed to improve the quality of the trip or ensure guest comfort.
Baggage
Farm to Fork is not responsible for the loss of passports, tickets, luggage, personal property, or valuables. Guests may not bring animals, firearms, controlled substances, or hazardous items on tour. Since luggage may not always be with you, pack carefully and consider leaving valuables at home. Guests are responsible for ensuring their baggage is labeled and properly transferred between transport modes.
Miscellaneous
While Farm to Fork makes every effort to ensure accuracy in publications, we are not liable for typographical or printing errors, including prices.
We make every effort to accommodate severe food allergies but cannot guarantee all requests will be met.
Guests grant Farm to Fork permission to take photos or video of the trip for promotional and commercial use, without compensation now or in the future. By submitting your deposit, you agree to assign all rights to any media in which your image may appear. Farm to Fork's photography is copyrighted and cannot be reproduced without permission.
Harassment Policy
Farm to Fork is committed to providing a harassment-free experience, free from disrespectful conduct or behavior based on race, religion, gender, nationality, disability, medical condition, age, sexual orientation, or any other protected status. Prohibited behavior includes verbal harassment, physical assault, unwanted touching, and inappropriate gestures. Any guest experiencing or witnessing harassment should report it immediately. Guests engaging in harassment or inappropriate behavior may be dismissed from the tour with no refund and will be responsible for any additional expenses incurred as a result of their dismissal.
COVID-19
Guests acknowledge and understand that there is an inherent risk of exposure to bacteria, pathogens, and viruses, including the coronavirus that causes COVID-19, and of contracting an illness or disease as a result of contact with other individuals and/or surfaces. Guests hereby waive and release Farm to Fork and its affiliates from any and all claims, demands, and damages arising from exposure to bacteria, pathogens, or viruses, including but not limited to COVID-19, as well as any illness or disease contracted as a result of such exposure, including claims allegedly arising from the negligence of Farm to Fork or the guest.
Guests understand that they may be required to undergo health screenings or sign additional forms before and/or during the trip, as mandated by Farm to Fork, government authorities, local suppliers, or other entities in order to participate in or continue the trip.
Guests agree to comply with all rules and regulations set forth by Farm to Fork, government authorities, and other relevant entities.
